Medik8 Grievance / Speak Up Policy
Our Commitment
At Medik8, we act with the highest ethical standards as part of our goal to set an example and make lasting commitments. These commitments are explained in our Code of Ethics.
It is important for all our employees and stakeholders to behave in an exemplary manner and in a way that reflects our Values of Integrity, Community, Expertise & Innovation and L’Oréal Ethical Principles of Integrity, Respect, Courage and Transparency.
We encourage our employees and all our stakeholders to report any concerns they may have about compliance with these commitments in order for us to take any necessary corrective action. The Speak Up policy enables employees and stakeholders to make a Speak Up (whistleblowing) report, in accordance with applicable legal provisions.
For this purpose, it is essential that Medik8 employees and stakeholders have access to a secure and efficient internal reporting channel that provides them with all the necessary confidentiality guarantees. These guarantees allow them to highlight any potential breaches of our ethical rules, as well as any threat or harm to public interest.
As Medik8 is part of the L’Oréal Group, L'Oréal’s Ethics, Risk and Compliance Department (hereinafter «DERC») is the Group’s permanent point of contact with regards to the management of reports and the conduct of ethical investigations.
Who Is This For?
This policy is for any Medik8 stakeholders, such as employees, suppliers, customers, or members of the local community.
Medik8 employees also have access to the internal Grievance Procedure as well as our open door policy, and the employee council.
What Can Be Reported?
To be accepted, a Speak Up report must relate to Medik8’s business activities and cover issues such as:
• Breaches of our Code of Conduct or policies.
• Legal or regulatory violations (including criminal activity).
• Threats to public interest, health, safety, or the environment.
• Human rights violations.
• Deliberate concealment of any of the above.
• Retaliation for raising a grievance.
Rights and Obligations
Confidentiality
Anyone involved is bound by a strict confidentiality obligation to protect identities and safeguard reputations. Information identifying the reporter can only be disclosed with their explicit consent, except to those managing the investigation/remediation or if required by legitimate legal authorities.
Cooperation
All parties must fully and promptly cooperate, attending interviews and providing all requested documents without restriction.
Data Privacy
Personal data is processed in accordance with the Group's data privacy standards and the specific Personal Data Protection Policy - Speak Up available on the Ethics website.
Neutrality
Any accused person must be heard fairly, can request witnesses to be interviewed, and can produce relevant documentation.
Conflicts of Interest
Any person handling a report who has a potential conflict of interest must immediately disclose it to HR and recuse themselves.
Vulnerable Stakeholders
If a case involves a vulnerable individual, steps must ensure no further harm is caused, collaborating with third-party experts if necessary.
The Grievance Process
We aim to resolve most issues within 4–6 weeks.
1. Submission: Submit your Speak Up via the secure Medik8 Speak Up website: www.lorealspeakup.com
2. Acknowledgement: The reporter automatically receives an electronic confirmation message.
3. Admissibility: If a report is admissible, the reporter shall be informed within a maximum of 3 months from the acknowledgement of receipt, including the identity of the person in charge of handling the case. If not admissible, the case is closed.
4. Outcomes: The reporter shall receive updates on the measures considered or taken within a reasonable period. Both the reporter and the accused person shall be informed of the final conclusions.
